COVID-19 Updates









May 7, 2020 - 
Tennis and Track & Field seasons canceled

Due to many factors associated with the COVID-19 pandemic, including lack of access to the Westfield school facilities and the ever-changing state and local gathering restrictions, we are have decided to cancel the upcoming summer sports season.  This includes Tennis and Track & Field.  We will continue to explore opportunities to offer abbreviated programs later in the summer for these sports.  If we are able to do this we will send information via email to all WYSI members.

Thank you for your continued support of WYSI. Your patience and understanding are greatly appreciated as we have had to make some very difficult decisions during these trying times.  We hope your family is safe. We will get through this together.

April 17, 2020 - Refunds for Canceled Sports

On April 4, we announced the cancellation of the spring sports due to the current situation with the COVID-19 pandemic. We wanted to expand upon that email and explain the refund plan for baseball, lacrosse, and softball.

Please note, as a board we reviewed every possible refund scenario and feel that we have come up with what is both fair to you while also considering that we are a non-profit organization striving to provide a best-in-class experience for the Westfield community.  To provide this experience, we have certain expenses that are fixed in nature and are subsequently embedded in each sport registration fee that you pay for your child to participate in the 11 sports offered by WYSI.  These fixed costs include background checks, liability insurance for our volunteer coaches and administrators, credit card processing fees, website, and contracted administrative fees such as bookkeeping, operation services, and field maintenance.

In the coming weeks, we will issue refunds back to the credit/debit card that you used to pay for your baseball registration.  The amount will be the full registration fee that you paid minus $10.  The $10 will help us offset the fixed costs mentioned above.  Please note this is a discounted fee as the actual fixed costs we pay out are substantially greater than $10/player.  

We have received several requests about the ability to donate your registration fees to WYSI.  We would be happy to accept your fee as a donation to the WYSI scholarship fund.  This fund provides access to participate in WYSI sports to those in need of assistance.  As such, your donation will be considered a tax deductible donation.  To convert your registration to a donation please click here and complete the short donation form by Sunday night (at 11:59pm).  If you do not submit your donation by Sunday, your registration fee will be refunded as detailed above.

We also wanted to let you know that due to the ever-changing nature of this situation we have not ruled out the possibility of offering abbreviated programs later in the summer.  If we are able to do this, we will communicate the details at the appropriate time.

On April 4th, we announced the cancellation of the upcoming baseball season due to the current situation with the COVID-19 pandemic.  The WYSI Board is meeting (virtually) this Thursday night to finalize what our refund policy will be for each of the spring sports - Baseball, Lacrosse, and Softball.

We apologize for the delay but many factors are being considered with respect to developing fair refund policy while simultaneously developing an efficient logistical plan to deliver over 1100 refunds.

Over the past week, the WYSI board of directors has been meeting (virtually) to discuss where we, as an organization, are with respect to the Covid-19 pandemic; specifically as it relates to the recently completed seasons (girls basketball, instructional basketball) and the upcoming spring (baseball, lacrosse, softball) and summer (track & field, tennis) seasons.

As you can imagine, in an ever changing environment, decisions on modified refund policies, season cancellations, and opening registrations for upcoming seasons are not easy to make.  

While this situation changes frequently, we wanted to communicate to our membership where we stand as of today.  

As we stated in our March 12 and 13 communications, our policy has been to follow the lead of the Westfield Washington School district (as well as state and federal government mandates)  in terms of when to continue our activities.  Yesterday the state of Indiana announced that all Indiana schools will be closed for the remainder of the 2019-20 school year. This means we will need to cancel the spring sports season; specifically in-house baseball, lacrosse, and in-house softball.  

Below you will find information specific to each sport:

Girls Basketball & Instructional Basketball: The season was abbreviated by three weeks.  Based on our variable cost calculator WYSI "saved" approximately $1500 ($3.21/player) in anticipated expenses. We plan to redirect those savings towards the WYSI scholarship program so we can continue to provide scholarships to those with financial limitations so any child living in Westfield can participate regardless of their financial situation.  

Girls & Boy Lacrosse:  The difficult decision has been made to cancel the season. Registrants will receive information regarding refunds via email next week.  

In-House Baseball: The difficult decision has been made to cancel the season. Registrants will receive information regarding refunds via email next week.

In-House Softball:  The difficult decision has been made to cancel the season. Registrants will receive information regarding refunds via email next week.

Travel Baseball & Travel Softball: As of right now the plan is to continue to suspend the season and follow local, state, and national mandates as to when public gatherings will be permitted.   

Tennis and Track & Field:  As of today, the plan is to begin the seasons as scheduled.  We have decided to delay opening registrations for tennis and track & field until we have a clearer view of whether we can offer these sports.  We will make a decision in the coming weeks as to the appropriate time to open registration.

We hope this information helps you and your family with your future plans.  We truly appreciate your support of WYSI and your patience as we all navigate through these uncharted waters together.  Moving forward, as information becomes available we will continue to communicate with you as much as possible.

Due to concerns over the increasing public health risk with the COVID-19 virus and concerns about the safety of the children and citizens of Westfield, WYSI is immediately suspending all activities through April 12. This includes all in-house and travel activities (practices, games, meetings, and other gatherings).

Thank you for your cooperation and patience as we work through this unprecedented and fluid situation.

At this time we will not be accepting registration cancelations or request for refunds. In the coming weeks the WYSI Board of Directors will evaluate the situation and come up with the appropriate course of action for the shortened seasons due to this unfortunate pandemic.

WYSI’s primary responsibility is to provide a healthy, safe, competitive environment for youth sports in Westfield.

Like you, we are closely monitoring the outbreak of COVID-19/Coronavirus and are continually assessing the potential impact on upcoming events. We are in daily contact with Westfield Washington Schools.

While there are many variables and unknowns at this point, here is what we do know: If the Westfield Washington school system closes for an extended period, WYSI will likewise cancel all events during that period. We understand this is not an ideal situation, but we feel it is the right decision to limit social interaction in close spaces, as public health experts are recommending.

We will continue to monitor the situation and we will email you should we need to take additional action.   Stay safe.
